Position Summary Reporting to the Athletic Director, the Assistant Athletic Director is responsible for assisting the Athletic Director in oversight, administration and promotion of the athletics program. This position is responsible for completion of all tasks in relations to operations and compliance. Compliance includes all aspects of NJCAA eligibility, including oversight of student-athlete eligibility documentation and NJCAA compliance documentations. This position is responsible for all compliance and eligibility needs of all student-athletes. This position organizes and compiles Letters of Intent and is responsible for the completion of all related information to prepare the EADA Survey for submission. It also works closely with our on-campus offices to ensure student-athletes are set up for success with their classes, financial aid, degree completion, etc. Operations includes game day management and athletic office operations. This position is responsible for all aspects of game day management including set up/tear down, game day activities, game day staff and oversight, ticketing and concession management, and promotions and marketing of game days. This position also is responsible for the day-to-day operations of the athletics office including athletic office student staff oversight. In addition, this person will be responsible for managing our Athletic Website, social media, and oversee our sports information department.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
-Serve as the second in charge administrator for the athletics department.
-Responsible for the day-to-day operations of the athletics office, including athletic office student staff oversight.
-Coordinate compliance for student-athlete eligibility along with completing determination of eligibility compliance for NJCAA reporting.
-Manage academic progress and continuing eligibility of student-athletes. Maintain accurate and up-to-date information to provide to the Athletic Director and Coaches.
-Work closely with Academic Advisors regarding scheduling student classes to meet NJCAA enrollment requirements and accommodate practice and competition schedules, including disability hardships.
-Work with the Director of Financial Aid to ensure student-athlete athletic aid is posted to student’s account.
-Assist with the recruitment and providing campus tours of student-athletes: non-traditional, dual enrolled, early/middle college and traditional high school students.
-Oversee all aspects of the student-athlete study hall program, instructor letters, eligibility checks, and progress reports, referring student athletes to appropriate resources when necessary.
-Manage all aspects of game day operations including set up/tear down, activities, staff, ticketing and concession management, and marketing of game days.
-Oversee all Athletic Team Travel, working with our transportation company and coaching staff.
-Oversee all equipment and uniform ordering and inventory, working with the contracted apparel representative.
-Oversee all maintenance and updates of the Athletics website including game day recaps, stories, and statistical game information. Supervise sports information student workers (photographer, stats, etc.)
-Assist with scheduling of games, practices, and events into 25live.
-Coordinate the execution of all internal and external rental requests for athletic facilities.
-Coordinate with Facilities and Grounds department on all necessary set ups and tear downs of athletic competitions, practices and events.
-Composes, prepares and maintains written documentation, correspondence, contracts, rosters, scholarships, schedules, and files for the department.
-Ensure compliance with all NJCAA and MCCAA rules, generally administer the processing of all athletic eligibility forms and reports as well as compliance of the Letter of Intent process.
-Assist the Director of Athletics in completion, monitoring and dissemination of results of all federal government requirements, (i.e., determine eligibility; coordinate the athletic monitoring program, equity issues with regard to Title IX).
-Leverage CRM Advise and other data systems to proactively monitor academic progress, retention risk factors, and holistic success indicators of student-athletes. Provide data-informed recommendations to improve student outcomes.
-Prepare all Letters of Intent for eligible student-athletes and activity scholarships, overseeing that each sport stays within its allotted scholarship limit.
-Prepares all appropriate paperwork for eligibility certification and work directly with student-athletes to gather the necessary corresponding paperwork.
-Foster cross-campus collaboration with Counseling, Disability Resources, Academic Advising and the Student Success Center to holistically address student-athlete needs.
-Work with the Athletics Director to monitor and update completion and retention rates to be shared upper administration.
-Other duties as assigned.
Required Qualifications
- Bachelor’s degree completed within 6 months of accepting position.
- Experience working in athletics and/or with student-athletes.
- Ability to multitask in a fast-paced environment.
- Capable of handling and respecting confidential information.
- Solid understanding of computer programs.
- Ability to work independently and as part of a team.
- Ability to meet and work with the public in a friendly and professional manner.
- Exceptionally accurate and detail oriented.
- Dependable, punctual, and flexible to changes.
- Nights and Weekends Required.
Additional Experiences Considered
- Bachelor’s or Master’s degree in Sports Administration, Sports Management, or Similar field.
- Exceptional communication skills.
- General knowledge of community college programs, services, and functions.
- General knowledge of athletic compliance at the NJCAA or NCAA levels. Game Day Operations experience.
- Website Maintenance and Social Media Experience.
